# AI automation for business: what it is, what to automate first, and what it costs to run

> AI automation uses language models to handle work that used to need a person: answering customer questions on WhatsApp, web chat and email, qualifying and routing leads, reading documents and entering data, and moving information between systems. It works best on high-volume, repetitive tasks with a clear pattern, inside limits you set and with a person available for the cases it cannot handle. OGB Labs in Muscat, Oman, builds these automations for companies in Oman, the UAE and Saudi Arabia.

## What AI automation actually does

These are the four kinds of work we automate in our [AI automation](https://www.ogblabs.com/services/ai-automation) service. In Oman the most requested one is an [AI chatbot on WhatsApp](https://www.ogblabs.com/locations/oman/ai-chatbot-whatsapp).

- Customer-facing agents: assistants that know your products, prices and policies and answer instantly on WhatsApp, web chat and email, handing over to a person when needed.
- Lead workflows: every enquiry scored, enriched with company details, routed to the right person and answered with a drafted reply.
- Back-office automation: invoices read and entered, reports written from data, documents summarised, records kept in sync.
- Integrations: the automation reads from and writes to your CRM, ERP, calendar, spreadsheets and messaging tools.

## AI agent vs rule-based chatbot vs manual handling

**Three ways to handle enquiries**

| | AI agent | Rule-based chatbot | Manual handling |
| --- | --- | --- | --- |
| Understands free-text questions | Yes, English and Arabic | Only scripted paths | Yes |
| Response time | Seconds, around the clock | Seconds, around the clock | Hours, on working days |
| New or unusual cases | Handled within limits, escalated when unsure | Falls back to a menu | Handled |
| Updates the CRM | Automatically | Partly | By hand |
| Setup | 2–4 weeks for a first workflow | Days to weeks | None |
| Ongoing cost | Model usage plus a care plan | Platform subscription | Staff time |

## What to automate first

1. List the ten tasks your team repeats most often each day.
2. Keep the ones that follow a pattern and where a wrong answer is easy to catch: first replies to enquiries, appointment booking, data entry from documents, order status questions.
3. Pick one with high volume. Automating it proves the value in weeks. For most companies that is the first reply on WhatsApp, covered step by step in our guide to a [WhatsApp AI chatbot in Oman](https://www.ogblabs.com/guides/whatsapp-ai-chatbot-oman).
4. Define what the automation may do alone, what needs approval, and when it must hand over to a person.
5. Measure before and after: response time, hours saved, leads answered outside working hours.

## Guardrails that make it safe

- Approval steps for anything that spends money, changes a contract or promises a delivery date.
- Clear limits: the agent answers from your documents and says so when it does not know.
- Logs of every conversation and action, reviewable by your team.
- Handover to a person on request, on low confidence, or on sensitive topics.
- Data stays in your systems. We use enterprise model APIs that do not train on your data.

## What it costs to run

Running cost has two parts: model usage, billed by the model providers according to how much the agent handles and usually small compared with staff time, and a care plan for monitoring, improvements and changes as your business changes. On WhatsApp, Meta also bills per delivered template message, while replies sent inside an open customer service window are free, according to Meta's [WhatsApp Business Platform pricing](https://developers.facebook.com/docs/whatsapp/pricing) (checked October 2026).

The build cost depends on the number of channels, the systems to integrate and how much of your knowledge has to be prepared for the agent to use. Most clients start with one workflow and expand from there. Deeper integrations with an ERP or an in-house system are scoped as [custom software](https://www.ogblabs.com/services/custom-software), and online shops usually begin with order-status and delivery questions, as described in [how to start an online store in Oman](https://www.ogblabs.com/guides/online-store-oman).

## Frequently asked questions

### Can the AI reply on WhatsApp?

Yes. Agents built on Meta's [WhatsApp Business Platform](https://whatsappbusiness.com/products/business-platform/), the official API for business messaging, reply instantly, hand over to a person when needed and log everything in your CRM.

### Does it work in Arabic?

Yes. Modern language models handle Arabic well, and we test every agent in both languages before it goes live.

### Which AI models do you use?

Claude, OpenAI models and open models, chosen per task. The model is a component, not the product.

### Is our data safe?

Your data stays in your systems. We use enterprise APIs that do not train on your data and add approval steps wherever an action matters.

### How long does a first automation take?

In our projects, two to four weeks from discovery to a live workflow.
